OPERATIONS TEAM
Reports to: Assistant Director
The Operations team is responsible for making sure Rhythm X gets from auditions to WGI Finals night safely, efficiently and smoothly! This role is best suited for individuals who are proactive, flexible, and calm under pressure. This team handles a large and diverse amount of tasks, and new responsibilities may arise throughout the season. The team will include several individuals and will be given flexibility in deciding how to divide up these tasks.
Responsibilities:
Logistics & Operations Management
Coordinate audition logistics, including a location, dates, and equipment.
Coordinate and plan rehearsal facility logistics, including securing appropriate venues and managing scheduling conflicts.
Coordinate transportation logistics, including arranging semi-tractor rentals and recruiting truck drivers for transport of the Rhythm X equipment semi to contests and rehearsal sites.
Oversee Rhythm X's physical assets, including equipment and semi-trailers, coordinating repairs and maintenance as needed.
Develop and implement systems to keep inventory and assets organized, clean, and accessible.
Coordinate the building of props and other visual elements.
Arrange for storage and transportation of props.
Ensure uniforms and the tarp are ordered in a timely manner.
Member & Personnel Management
Serve as the primary point of contact for member needs, addressing financial, housing, or absence issues.
Maintain a comprehensive roster of members and staff, including emergency contact information and relevant details.
Measure members for uniforms and handle alterations.
Recruit and manage volunteers.
Conduct background checks, SafeSport training, and manage contracts.
Coordinate meals for members and staff on show days.
Plan member-specific events like History Night and the Banquet.
Communication & Administrative Coordination
Serve as the primary point of contact with truck drivers, facility staff, contest staff, volunteers, etc.
Manage communication channels like Slack and email, ensuring information reaches the right people.
Work with the Staff Coordinator to create weekly schedules and ensure schedules are shared with all relevant individuals.
Ensure prompt payments are made for all services.
Qualifications and Skills:
Experience with logistics and events; organized and good at planning.
Great at communicating with people.
Can work well by yourself and with a team.
Good at solving problems and finding solutions.
Flexible and able to adapt to changes; works well under pressure.
Can use scheduling and project management tools including Slack, Notion, Gmail/G-suite, Salesforce
This position is best suited for individuals who can attend rehearsals in person most weekends throughout the season
